Facility Reservations

Rooms are available for reservation for ministries and outside groups. Your cooperation is necessary to maintain our facilities in good condition to support our program of ministries. Click HERE to see the facility reservations calendar.

Room Requests

A room/van request form must be completed for all room/van reservations, and e-mailed to This e-mail address is being protected from spambots. You need JavaScript enabled to view it or dropped off at the reception desk during office hours.  

The Church Trustees must approve all outside group requests before the request will be scheduled.  Trustees meetings are routinely scheduled for the 2nd Wednesday of each month.  Please have your room/van request form completed and turned into administration prior to this scheduled meeting time. All reservations for the Fellowship Hall, Sanctuary and Five Points Gym require an Audio Visual Discovery sheet completed along with the room/van request form.

You will receive a room reservation confirmation from the church administrator.  Your request is not approved until you receive this confirmation.

The confirmation will include a door key code that is unique to your reservation.  Your key code will only work on the days and for the time of your scheduled meetings.  Please share this code ONLY with your group members.  The key code system is for the safety of individuals who are approved to be in the building.

If your group/meeting begins before 4:30 p.m., Monday through Friday you will not be issued a door key code, but must enter the facilities through the receptionist’s area of the Joy Building.  The receptionist’s area faces the main parking lot (west) and is entered through the double doors at the covered drop-off area.

Do not use a room for which you do not have a confirmed reservation.   Although you may think no one is using another room it may be reserved by a group that meets later than your group or has been set up for a later meeting.   
Set Up

Do not take anything from other areas unless there have been prior arrangements made to do so.

If items from another area are used, they must be returned to the same location they were removed from, and in the same condition.  If something has been broken, please let the church know ASAP 256-837-0365.

Carry all items that are moved – DO NOT drag them – especially tables!

Event

The adults participating in each event should show by example and teach good stewardship of property entrusted to them for use and enjoyment.  Care should be used to not damage or deface our facilities.  Accidents will happen, but please report them to the office so they can be taken care of in a timely manner.  Please report any apparent malfunctions or peculiar happenings to the office so we can check it out.

All groups on the Asbury property are to be supervised by a responsible adult at ALL TIMES.  There should be no running inside the buildings.  Only children of the appropriate size/age should be riding toys or playing on playground equipment.  

For safety reasons, DO NOT PROP ANY DOOR OPEN FOR ANY REASON!!!!

Clean up

The responsible party will be required to replace any previously requested items to the appropriate rooms.

Tables and chairs must be cleaned of any craft or snack residue.  Tables may be left set up, if that’s how you found them, but please stack chairs against the walls.

All trash cans must be emptied into the dumpster.  DO NOT leave food trash inside the building.

Carpets must be free of any litter and if needed vacuumed.  If your group has a spill, please clean up any excess with paper towels, and notify administration ASAP.

Leaving

Turn out lights in all rooms you have used.  If no other groups are in the area turn out all lights in the halls, stairwells, and restrooms.  Do not assume that another group will turn out the lights.

Housekeeping Items:

Custodial closets – broom, dust pan, vacuum cleaner
Kitchenette – Table cleaner and paper towels.
